Shared Collaboration
Invite others to jointly manage item data and enable multi-user collaboration.
What Is Shared Collaboration?
Shared Collaboration allows multiple people to manage an inventory together:
- The admin invites collaborators to join
- Collaborators can view, edit, or create items
- The admin can set permission scopes for each collaborator
- Ideal for family sharing, team collaboration, and more
Shared Collaboration requires a Membership. You can invite up to 3 collaborators.
Accessing Shared Collaboration
- Tap the top-left corner of the home page to open the side menu
- Tap "Shared Collaboration"
- Enter the collaboration management page
Inviting Collaborators
The admin can invite others to join:
- Tap the "Invite" button in the collaborator list area
- Enter the other person's email address
- Tap confirm to send the invitation
- The invitee will receive an invitation notification
Accepting an Invitation
When the invited user opens the Shared Collaboration page:
- An invitation confirmation dialog appears
- Tap "Accept" to join the collaboration group
- Tap "Decline" to not join
Setting Collaborator Permissions
The admin can set permissions for each collaborator:
- Tap the settings icon to the right of a collaborator
- Open the permission settings panel
- Configure each permission
- Tap "Save" to apply
Permission Types
- Edit permission: Allow/disallow the collaborator to edit items
- Create permission: Allow/disallow the collaborator to add new items
- Data scope: Restrict the collaborator to only see items within a specific range
Data Scope Settings
You can set filter conditions to limit a collaborator's data access range:
- Tap "Data Scope" in the permission settings panel
- Select filter conditions (e.g., a specific cascade category, a specific status, etc.)
- The collaborator can only see items matching the filter conditions
Set the data scope to "Bedroom" — the collaborator can only see items located in the bedroom; items in other locations are hidden from them.
Removing a Collaborator
- Tap the delete icon to the right of a collaborator
- Confirm removal
- The collaborator is removed from the list and can no longer access the data
Switching Collaboration Groups
If you've accepted invitations from multiple people, you can switch between different collaboration groups:
- Go to the Shared Collaboration page
- Tap the email dropdown menu at the top
- Select the collaboration group to view (shows the other person's email)
- Tap the confirm button in the top-right corner to switch
- The home page item list now shows that collaboration group's data
After switching collaboration groups, you see the data shared with you by the other person. You can operate within their data scope (depending on the permissions they've granted you).
Admin vs. Collaborator
| Role | Permissions |
|---|---|
| Admin | Invite/remove collaborators, set permissions, full control over their own data |
| Collaborator | Operates within the permissions set by the admin, cannot invite others |
Use Cases
Family Sharing
- Invite family members to jointly manage household items
- Everyone can view and log items
- Maintain a shared household inventory together
Division of Responsibility
- Set data scopes so each person manages a different area
- For example, one person manages kitchen items, another manages study room items
- No interference — each person handles their own area
Team Management
- Small teams managing shared supplies
- Admin sets permissions to control who can edit
- Suitable for small offices and studios
During collaboration, the admin's actions affect the collaborator's experience. It's recommended to set up permission scopes first, then invite collaborators to join.
